Lot Management is a comprehensive solution that allows you to keep track of every vehicle on your lot (or lots) in real time, ensuring you always know what you have, where it is, and that it’s retail-ready. It combines inventory tracking technology (such as small wireless tags or GPS modules on vehicles) with a software dashboard and mobile app, giving your team the power to locate any vehicle instantly, optimize lot space, and manage inventory flow efficiently.
Imagine being able to pull up a map of your dealership on your phone and see every vehicle’s location plotted—this is what Lot Management offers. Using either RFID, Bluetooth beacons, or GPS (depending on your dealership’s setup and needs), each vehicle in inventory is tagged. When a vehicle moves or if you need to find one, the system knows. For example, a salesperson can search stock number or scan a VIN and the app will say “It’s in the northwest corner of Lot 3, Row 5.” No more wandering aisles or hunting for a car that’s parked off-site or was moved for a detail and not returned yet.
The system isn’t just a passive map; it actively helps manage tasks. Need to prepare a car for delivery? The system can show it, and even mark vehicles that are sold and pending pickup vs. available. Running low on space? It can help by showing areas of the lot underutilized or suggesting where to park new arrivals (perhaps based on grouping by model or color for display).
Lot Management also often includes key tracking integration. This means you can quickly find not just the car, but also which key track or lockbox has its key (and who last checked it out if integrated with electronic key systems). So if a customer is ready to test drive, you’re not left scrambling or delaying.
Vehicle security is another aspect: You can set up alerts for unauthorized movement. If a vehicle moves off the lot during overnight hours, you can get an alert (and possibly track it for recovery). Or set a geofence so if a car meant to be on main lot ends up going out of bounds (someone took it home unauthorized, or it’s mistakenly at the wrong location), management is notified.
For larger dealer groups or those with multiple storage locations, Lot Management is a lifesaver: you’ll know exactly which site a vehicle is at, so you don’t promise a customer “Yes, we have that here” only to find it’s 10 miles away at the overflow lot. And if it is, you can dispatch a porter quickly, because you see it’s there.
The system can also track lot service tasks: for example, see which vehicles have been through detail, PDI, photography, etc. It might tie into a reconditioning workflow to flag when a vehicle is frontline ready. A car can be marked as “Needs Fuel” or “Awaiting Cleanup” and once done, its status updates in the system. This way sales staff know if a car is ready to show.
By knowing every vehicle’s exact location and status, you reduce time wasted searching or verifying. Sales can sell with confidence because they can find the car and have it ready fast, giving a smoother customer experience. Inventory managers can ensure a more organized display—no more lost cars or surprises at audit time. And dealership management can maximize lot space and even improve lot safety (no more cars hidden in a back corner unaccounted for).
In summary, Lot Management gives you eyes on every vehicle and control over your physical inventory in a way that simply wasn’t possible before, leading to better efficiency, security, and sales effectiveness.
Dealership lots can be chaotic, especially large ones or multi-lot operations. Vehicles get moved for all sorts of reasons: shuffled for display, taken to a photo booth, borrowed for a parts run, parked at an overflow because main lot is full, sent to off-site detail, etc. It’s easy for one to get “lost” or at least not found when needed immediately. Salespeople wasting time searching for the car a customer wants to see is embarrassing and can cost a sale. And how many times has a deal been delayed because “We can’t find the second set of keys” or “Oops, it’s out of gas, give me a minute to fuel it”? Those are the little frictions that hurt CSI and sales velocity.
Inventory audits or lot checks can be stressful when you’re not 100% sure all vehicles are accounted for. Especially with trades or dealer swaps, a vehicle might sit in back waiting for inspection, and slip off the radar.
Without tech, tracking down these issues relies on humans remembering or manual lot walks, which are time-consuming and still prone to misses. If a vehicle goes missing (stolen or misallocated), you might not even notice until days later without an active tracking system.
Optimizing space is another headache—knowing where to squeeze in new shipments, or how to arrange by model for customer appeal, often depends on someone’s constant oversight and direction.
Key management similarly can be analog (a big board or drawer) and rely on people doing it right. One lost key or one not returned promptly by an employee can derail a test drive or delivery.
Lot Management addresses these by introducing a level of automation and intelligence to physical inventory control that wasn’t available before.
Vehicle Tracking Tags
Equip each vehicle with a small electronic tag (RFID, Bluetooth beacon, or GPS unit). Tags broadcast location info either to receivers around the lot or via GPS/cellular.
Lot Map Dashboard
Display a map of your dealership (and any auxiliary lots) with real-time (or near real-time) locations of all tagged vehicles. Use color coding or icons to denote status (available, sold, in service, etc.). Search function allows quick find by stock #, VIN, or even partial matches like model or color.
Key Tracking Integration
Integrate with electronic key control systems so that when a key is taken, the system logs who took it and when. On the lot map or inventory list, you’ll see an indicator like “Key checked out by J. Smith (Sales)” or “Key in Box 12”. You can also search by key tag to find where the car is.
Geofencing & Alerts
Define virtual boundaries (e.g., around your lot’s perimeter). If a vehicle leaves that area without proper checkout (like during business hours maybe that’s fine if marked as a test drive, but after hours it’s not), you get an alert via text/app. Also, possibly get alerts for things like low battery on a unit (if using a sensor that checks battery life for lot vehicles).
Space Optimization Tools
The system can suggest parking arrangements. For instance, you input that you want all trucks along the west fence, and it will highlight spots and help you plan moves. Or it can simply show heatmaps of usage: areas often free that could be utilized more.
Inventory Status & Workflow
Mark vehicles with various statuses: “In Recon,” “Ready for Sale,” “Sold – Awaiting Pickup,” “Needs Wash,” etc. These statuses can automatically trigger or update based on integration (e.g., once PDI is done in the DMS, status flips to Ready, or once a deal is marked sold, status flips to Awaiting Pickup). On the map or list, you can filter by these to see, for example, all sold units still on lot (so you can ensure they get detailed before delivery).
Porter Task Assignment
Send move tasks to porters through a mobile app. If you need 5 cars moved for the weekend display, you can select them in the app, assign target locations, and porters get a to-do list (“Move car A to spot X”). When they complete it (they can update in app), the map updates new locations.
Find Nearest Vehicle
If a customer wants to see a specific trim or color and you have multiple, the system can show which is closest to the showroom right now or easiest to retrieve, so you pick that one to minimize wait.
Reporting
Historical tracking of vehicle movements. Useful for understanding lot logistics or if investigating an incident (“how did this car get a scratch? It moved last night at 7pm, by who?”). Also, inventory audit report that, at a click, shows every stock number and confirms it’s accounted for on premises or if not (maybe it’s at the body shop), with last known location. This simplifies audits and floorplan checks.
Multi-Lot Management
Easily transfer inventory between locations in the system. If you move a car to your satellite store, you update its location and now it appears on that store’s map. If a customer is at one store wanting a car at another, sales can pinpoint it and even arrange a swap quickly.
Inventory Merchandising: Tie Lot Management with your inventory merchandising system so that when a vehicle is frontline ready and parked, you automatically trigger online listings (photos, description go live). Conversely, mark as sold in DMS, Lot Management can ensure it’s removed from display and not shown online anymore.
Reconditioning Workflow: Integrate with recon software – as vehicles progress through recon steps (mechanical, detail, photo), their location/status updates. For instance, when recon is done, system might prompt to move car to front lot and update status to Ready.
CRM/Sales System: When a salesperson is searching inventory in CRM or the DMS, they could see an indicator of a vehicle’s location and whether it’s readily available. Also, test drive management – start a test drive in CRM, Lot Management notes that vehicle is out (and who with), and upon return, logs it, maybe even notes route taken if GPS. This way if a customer wants to drive same car after, you know it’s currently out or back.
